G4T EUDR Farmer Cooperative Societies Compliance ERP and CRM dashboard system (an all in one computation cloud based solution), designed to protect farmers’ livelihoods by simplifying compliance with the EU Deforestation Regulation (EUDR) and enhancing climate resilience.

System Overview: G4T EUDR Compliance & Resilience System

Vision: To democratize EUDR and climate resilience compliance for smallholder farmers, transforming a perceived burden into a competitive advantage and a catalyst for sustainable livelihoods.

Mission: To provide a single, integrated, user-friendly digital platform (ERP & CRM) that empowers Farmer Cooperative Societies to easily collect, manage, and report the necessary data for EUDR compliance while simultaneously improving their farming practices, securing better market access, and building climate resilience.

Core Challenges Addressed:

  1. Data Fragmentation: Farmer data is often on paper, in different formats, or non-existent.
  2. Complexity of EUDR: The regulation requires precise geolocation, traceability, and due diligence data that is overwhelming for small cooperatives.
  3. Cost of Compliance: High costs of audits, data collection, and technology could exclude smallholders from lucrative EU markets.
  4. Climate Vulnerabilities: Farmers need tools to adapt to changing weather patterns but lack accessible data-driven insights.
  5. Market Access: Without proof of compliance, cooperatives risk being cut off from the EU, their largest market for coffee, tea, etc.

The Integrated System: ERP + CRM + GIS

This is not just two dashboards but a fully integrated system where data flows seamlessly between operational (ERP) and relational (CRM) functions, all underpinned by geospatial technology (GIS from Barista Mtaani).

  1. The ERP (Enterprise Resource Planning) Dashboard: “The Operational Backbone”

This dashboard manages the internal operations of the cooperative, from bean to export.

Key Modules & Data Tools:

· Farm & Farmer Management:
· Digital Registry: A centralized database of all member farmers.
· GIS Land Parcel Mapping: The cornerstone of EUDR compliance. Using GPS or satellite data, each farm is mapped with polygon boundaries, creating a unique Farm ID. This proves the farm was not established on deforested land after Dec 2020.
· Easy Data Tool: Mobile app for field officers to plot farms offline, take photos, and update farmer details.
· Traceability & Chain of Custody:
· Batch Tracking: System generates unique QR codes or batch numbers for every harvest from every farm.
· Digital Weighing Bridge Integration: Weight data at collection points is automatically captured and linked to the farmer’s account and batch ID.
· Transaction History: Tracks the movement of produce from farm -> collection center -> processing mill -> warehouse -> port. Every handover is digitally recorded.
· Compliance Documentation Module:
· Automated Due Diligence Checklist: Guides the cooperative step-by-step through EUDR requirements.
· Document Repository: Stores scanned copies of land titles, permits, and farmer IDs linked to their Farm ID.
· Risk Assessment Algorithm: Automatically flags farms in high-risk areas (e.g., near forest boundaries) for additional verification.
· Climate Resilience Management:
· Inputs Tracking: Monitors distribution of climate-resilient seeds, organic fertilizers, and other inputs to farmers.
· Carbon Footprint Estimator: Tracks farming practices to estimate the carbon footprint of the cooperative’s produce.

  1. The CRM (Customer Relationship Management) Dashboard: “The Market Linkage Hub”

This dashboard manages external relationships with buyers, exporters, and certifiers.

· Buyer & Partner Portal:
· Compliance Data Sharing: Secure, permission-based access for EU buyers to view the compliance status of the batches they are purchasing. They can see farm maps, traceability steps, and documentation without seeing sensitive farmer personal data.
· Transparency Dashboard: Buyers can see the cooperative’s overall impact: number of farmers, hectares under sustainable management, carbon data, and community projects.
· Market Access & Sales Management:
· Digital Contract Management: Stores and manages sales agreements with compliance clauses.
· Price Premium Tracking: Tracks and manages premiums paid for compliant and sustainable produce, ensuring fair distribution back to farmers.
· Farmer Engagement & Support (Extension Services):
· Communication Hub: Sends SMS alerts to farmers about weather warnings, best practices, training sessions, and market prices.
· Feedback Loop: Farmers can report issues or ask questions via USSD or simple app interfaces, which are logged in the CRM.
